Privacy Policy
This policy explains what information BarnEdge Pro collects, how we use it, and the choices you have. It is written in plain language to match how the app actually works.
Who we are
BarnEdge Pro ("BarnEdge," "we," "us") is a barn-management application operated by Decisive Search Inc., doing business as BarnEdge Pro, P.O. Box 568, Buckley, WA 98321. You can reach us at contact@barnedgepro.com.
Who uses BarnEdge
BarnEdge is used by barn owners, barn managers, workers, and horse owners to coordinate horse care, report and resolve barn alerts, manage schedules, and (where enabled) handle billing. Different roles see and do different things in the app. BarnEdge is intended for adults managing barn operations.
Information we collect
Account information
When you create an account we collect your name, email address, chosen role(s) (barn owner, barn manager, worker, horse owner), your preferred communication language, and the barn(s) you join. Authentication is handled by our backend provider (Supabase).
Horse and barn information
Information you enter about horses (name, care preferences, feeding and medication details, turnout, stall, veterinary and farrier notes, and similar) and about your barn's operations.
Reports, alerts, and notes
When you submit an update or raise an alert (for example: a missing shoe, lameness, or low hay), we store the note text, the type of alert, the horse or barn it relates to, who raised it, and timestamps. When an alert is resolved we store the resolution note, who resolved it, and when.
Voice input (optional)
If you use the microphone to dictate a note, the audio recording is sent to a speech-to-text provider (OpenAI) to convert it into text. The audio is used only to produce the transcription and is not stored by BarnEdge after transcription. Only the resulting text is saved, as part of your note.
Translation
So that people who speak different languages can understand the same information, note and alert text may be sent to a translation provider (Anthropic's Claude) and returned in the reader's preferred language. Translated text may be cached so the same content does not need to be translated repeatedly.
Push notification identifiers
If you enable notifications, our notification provider (OneSignal) assigns your device an identifier so we can deliver alerts to your device, including when the app is closed. We associate that device with your BarnEdge user ID so the right people receive the right alerts, translated into their language.
Billing information (where enabled)
If your barn uses in-app billing features, related charge and invoice records are stored. Card payment processing, where offered, is handled by a third-party payment processor; we do not store full card numbers.
Usage and device data
Standard technical data needed to run and secure the app (for example, log and error information).
AI features and how they use your data
Two features in BarnEdge use third-party AI services to work:
- Voice-to-text (OpenAI): when you choose to dictate, your audio is sent to OpenAI only to transcribe it into text, then discarded — BarnEdge does not keep the audio.
- Translation (Anthropic's Claude): note and alert text is sent to Anthropic so each reader sees it in their own language.
These features are how BarnEdge lets a whole barn work across languages and log care by voice. Using the microphone is always optional. Where required, the app presents an AI disclosure and asks for your consent before these features are used.
How we use information
- To provide the app's core functions: care coordination, alerts, scheduling, and (where enabled) billing.
- To route alerts and notifications to the appropriate people based on role, horse ownership, and barn membership.
- To translate content into each user's preferred language.
- To convert dictated audio into text.
- To secure, maintain, and improve the app.
- To communicate with you about your account or the service.
We do not sell your personal information, and we do not use it to serve third-party advertising.
Third-party service providers
BarnEdge relies on the following providers to deliver specific features. Each processes data only as needed to provide its service:
- Supabase — database, authentication, and backend hosting.
- OpenAI — speech-to-text transcription of optional voice input (audio not retained by BarnEdge after transcription).
- Anthropic (Claude) — translation of notes and alerts.
- OneSignal — delivery of push notifications.
We encourage you to review these providers' own privacy practices. Their handling of data is governed by their own agreements and policies.
How information is shared within a barn
BarnEdge is collaborative by design. Information you enter is visible to other users of your barn according to their role and their relationship to the relevant horse (for example, a horse's owner, the barn owner or manager, and assigned workers may see alerts about that horse). Notifications are routed to the people responsible for acting on them. We do not share your personal information with anyone outside your barn except the service providers listed above, or where required by law.
Data retention
We retain your information for as long as your account is active or as needed to provide the service, and as required for legitimate business or legal purposes. Optional voice audio is not retained after it is transcribed. You may request deletion of your account and associated personal data (see "Your choices").
Your choices
- Notifications: you can turn push notifications on or off through your device settings.
- Language: you can change your preferred communication language in the app.
- Voice: using the microphone is optional; you can type notes instead.
- Access and deletion: you may request access to, correction of, or deletion of your account and personal information by contacting us at contact@barnedgepro.com. Note that some barn records (for example, a resolved alert history) may be retained where a barn owner has a legitimate need or legal obligation to keep operational records.
Children
BarnEdge is intended for use by adults managing barn operations and is not directed to children under 13, and we do not knowingly collect personal information from children under 13. A barn may enter information about people who are not app users — for example, riders, including minors, listed on a release — and that information is entered and managed by the responsible adult account holder, not by the minor.
Security
We use industry-standard measures to protect your information, including encryption in transit and access controls. No system is perfectly secure, but we work to protect your data and to limit access to it.
International users
BarnEdge is operated from the United States. If you use BarnEdge from outside the United States, your information may be processed in the United States and by the providers listed above.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you in the app.
